This privacy notice explains how Teversal Village Hall ("we", "us", "our") collects, uses, and protects your personal data when you visit teversalvillagehall.co.uk or book our venue. It's written to comply with the UK GDPR and the Data Protection Act 2018.

1. Who we are

Teversal Village Hall is the data controller for the personal data we collect through this website and through bookings.

2. What personal data we collect

Depending on how you use our website or book the hall, we may collect:

• Contact details — name, email address, phone number (via our contact form or booking enquiries)
• Booking information — event date, package chosen (Silver/Gold/Platinum/Bespoke), guest numbers, event type, any special requests
• Payment information — billing details and deposit payment records (e.g. the £50 non-refundable booking deposit). Card payments are processed by Stripe — we do not store full card details ourselves
• Social media interactions — messages or comments via our Facebook or Instagram pages

We do not knowingly collect special category data (e.g. health, religion) unless voluntarily provided, for example in a free-text enquiry about accessibility needs.

We do not currently send marketing emails. If this changes, we'll update this notice and rely on your consent.

4. Cookies and tracking

Our website does not currently use analytics or tracking cookies. If this changes, we'll update this notice accordingly.

5. Who we share your data with

We may share your data with:

• Website hosting/platform provider — the site is built and maintained via WordPress/Divi
• Booking and CRM platform — GoHighLevel (GHL), which manages bookings made via "Book Now"
• Payment processor — Stripe, which handles deposit and balance payments
• Décor and event partners — if you request styling or décor add-ons, relevant booking details may be shared with our partners (Touch of Charm Weddings, Touch of Charm Flowers, One Stop Party Shop) so they can fulfil that part of your event

We only share what's necessary to deliver your booking and do not sell your personal data.

6. International data transfers

We use GoHighLevel (GHL) to manage bookings and Stripe to process payments. Both providers may store or process data outside the UK, including in the United States. Where this happens, we rely on the safeguards these providers have in place, such as Standard Contractual Clauses, to ensure your data remains protected to UK standards.

7. How long we keep your data

• Booking and payment records: kept for 6 years from the end of the relevant tax year, in line with HMRC record-keeping requirements
• General enquiries that don't lead to a booking: kept for 12 months, then deleted or anonymised

8. Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Rectify inaccurate or incomplete data
• Erase your data ("right to be forgotten"), in certain circumstances
• Restrict processing of your data
• Object to processing based on legitimate interests
• Data portability — receive your data in a portable format

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk if you believe we haven't handled your data properly.

9. Data security

We take reasonable technical and organisational measures to protect your personal data, including secure website hosting and restricted access to booking and payment records.

10. Children's data

Our events (christenings, birthday parties, etc.) may involve children's guest details (e.g. numbers, ages for decor & soft play purposes) provided by a parent or guardian at the time of booking. We do not knowingly collect personal data directly from children.

We may update this privacy notice from time to time. The "last updated" date at the top shows when it was last revised.
